Using ChoiceMail with Microsoft Outlook 2000

(Note - this information does not apply to ChoiceMail version 2.x as this version of ChoiceMail can configure MS Outlook automatically)



If you are using Microsoft Outlook 98, 2000, or 2002 (all of which are different than Outlook Express) , you will need to configure Outlook manually to connect to ChoiceMail. Assuming you already have existing accounts in Outlook, the best thing to do is disable those accounts and create a new account to connect to ChoiceMail.

Until you have configured your email application to connect to ChoiceMail, ChoiceMail will not begin downloading any of your email messages. ChoiceMail may have already displayed a hint telling you this information and if you have seen that hint, please click OK to close it.

It is important to understand that you should only have one live account in Outlook and that account will communicate with ChoiceMail. ChoiceMail itself should be configured to access all your existing POP3 accounts. Now follow the steps below to configure Outlook 2000 to connect to ChoiceMail. You may find it convenient to print these pages out. DigiPortal Software cannot warrant that the process below will work and you should also consult your Outlook 2000 documentation.

After you have configuring Outlook, click here or information on manually exporting your contacts from Outlook 2000 into ChoiceMail.

 

Step 1) Select Tools from the main window and choose "Accounts..."



Step 2a) For each account that shows up on this list, select the account and click the Properties button.


Step 2b) Make sure that the checkbox at the bottom is NOT checked.
Repeat steps 2a and 2b for each account that that ChoiceMail should take responsibility.





Step 3) We will now create a new POP3 account in Outlook 2000. Click the Add button and select Mail...



Step 4) Enter the name you would like to use on this account and press Next.



Step 5) Enter your email address and press Next.



Step 6) Select POP3 from the drop down box and make sure that you enter the server name localhost, one word exactly as displayed, in both fields. This is the first part of the process that will allow Outlook to connect to ChoiceMail.



Step 7) Specify and account name and password you wish to use for Outlook to connect to ChoiceMail. The account name and password you use here must match the username and password defined in the "Logging into ChoiceMail" dialog. Click here to read about the ChoiceMail configuration.

Unmatched settings here are the most common reason for your email program to fail to connect to ChoiceMail.

Press Next to continue.



Step 8) Make sure you have the option "Connect using my local area network" checked. Then press Next.



Step 9) Click Finish. We are still going to make some other minor modifications for convenience so stick with us a little longer!



Step 10) You should now see a new account, probably called localhost in your list of accounts. Click on that new account to select it. Then press the button called "Set as Default"


Step 11) Your new account should now be marked as the default mail account. Now click the Properties button for this new account.


Step 12) We want to change the name of the new account to give it a more descriptive name. This is purely for convenience so that you can more easily recognize that account in the future.



Step 13) Change the name of the account to anything you wish. We used "My ChoiceMail account" but you can call it anything you wish.



Step 14) We are now going to just verify that everything was done correctly. Click on the "Servers" tab to see all the critical server and login information. The account name and password will be different than those shown here and, as we indicated earlier, they should be the same as in ChoiceMail.



Step 15) Click on Connection and make sure that your display looks the same as above.




Step 16) Click the "Advanced" tab.

The normal value for the incoming mail port is 110. However, if you are running an older anti-virus program, ChoiceMail may have told you to change the server port number for incoming mail. If and only if ChoiceMail did indicate that you need to change the port number, this is the place to change it.

If you do not remember the value, you can go back to ChoiceMail, click on Options in the main window of ChoiceMail, select Configuration and then when the configuration dialog appears, click the Advanced tab to see what value ChoiceMail is using for incoming email. If necessary, change the incoming mail port in Outlook to match the value displayed in ChoiceMail. Do NOT change the values in the ChoiceMail dialog.

When you are done, Click OK.



Step 17) You should be back at the list of Internet Accounts - click Close.



Step 18) Assuming that ChoiceMail is running, click the Send/Receive button in Outlook and Outlook should now be able to connect to ChoiceMail properly.

If it is still not working, please review all the settings again very carefully.
